Records Manager
Our Records Manager maintains the firm’s physical and digital records, oversees the retention, storage, organization, tracking and retrieval of records, and provides guidance and training regarding those records. The Records Manager also performs duties relating to conflicts of interest, docketing, weekly reports, file destruction, and maintenance of the firm’s library.
Records Management Tasks
- Manages both digital and physical client records (including using Clio software), creating folders for attorneys, organizing the file room, facilitating destruction of old matters, and ordering files from offsite storage.
- Conducts conflict checks for current and potential clients.
- Maintains the firm's docket calendaring system and sends reports to attorneys and staff regarding upcoming critical deadlines.
- Serves on the Firm’s Technology Committee.
Library Tasks
- Manages library inventory, acting as a liaison between attorneys and publishing companies to ensure the Firm is subscribed to relevant publications.
- Maintains the in-office library, including shelving new books and disposing of old ones.
Experience/Qualifications
- Willingness to learn records management skills, work cooperatively with others, and maintain client confidentiality.
- Exceptional organizational skills, attention to detail, and excellent spelling and proofreading skills.
- Proficiency in Microsoft Word and Outlook.
- Experience with Clio or similar records management software, a plus.
- Experience working in a law firm or other office environment and/or college courses in office systems, procedures, and skills, a plus.
- Occasionally lift and carry boxes weighing up to 40 pounds and use a ladder.
- Monday through Friday, 40 hours/week.

Once records management proficiency is achieved, social media manager duties may be added. The social media manager oversees the firm’s online presence, with the goal of promoting a positive and professional image of the firm across all platforms, brainstorms content ideas, works with the firm’s marketing committee, and writes original content for social media.
